Acceptance of Terms

By accessing or using StitchSentry ("the Service"), you agree to be bound by these Terms of Service. If you do not agree with any part of these terms, you may not use the Service.

Description of Service

StitchSentry is an automated embroidery quality assurance platform. The Service allows users to upload embroidery design files for analysis, receive quality reports, and manage their production workflows. The Service is provided "as is" and may be updated or modified at any time.

User Accounts

To use certain features, you must create an account. You agree to:

  • Provide accurate, current, and complete registration information.
  • Maintain the security of your password and account credentials.
  • Notify us immediately of any unauthorized use of your account.
  • Accept responsibility for all activity under your account.

Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable laws.
  • Upload files containing malware, viruses, or other harmful content.
  • Attempt to gain unauthorized access to the Service or related systems.
  • Interfere with or disrupt the Service or servers connected to the Service.
  • Use automated tools to scrape or extract data from the Service beyond approved API usage.
  • Share your account credentials or allow third parties to access your account.

Intellectual Property

You retain all rights to the embroidery designs and files you upload to StitchSentry. We do not claim ownership of your content. By uploading files, you grant us a limited license to process, analyze, and store them solely to provide the Service.

The StitchSentry name, logo, and all related trademarks, service marks, and trade names are the property of StitchSentry. You may not use them without prior written permission.

Your embroidery designs remain 100% yours. We never claim ownership of your uploaded files.

Payment & Billing

Paid plans are billed on a recurring basis (monthly or annually). You authorize us to charge your chosen payment method for the applicable fees. Prices may change with 30 days' notice.

  • Failed payments may result in service suspension after a grace period.
  • You can cancel your subscription at any time from your account settings.
  • Cancellation takes effect at the end of the current billing period.

Refund Policy

We want you to be satisfied with StitchSentry. The following outlines our refund policy for subscription plans.

Subscription Renewals

Subscriptions renew automatically at the end of each billing cycle. You will receive a reminder email before renewal. If you do not wish to renew, cancel before the renewal date.

Cancellation & Prorated Access

When you cancel, you retain access to paid features until the end of your current billing period. We do not issue partial refunds for unused time within a billing cycle.

Credits & Non-Refundable Items

Purchased analysis credits and one-time add-ons are non-refundable once used. Unused credits remain available on your account and do not expire while your subscription is active.

Exceptions

Refunds may be granted at our discretion in the following cases:

  • Duplicate charges — If you were charged twice for the same billing period.
  • Billing errors — If you were charged an incorrect amount due to a system error.
  • Service outage — If the Service was substantially unavailable for an extended period during your billing cycle.

How to Request a Refund

To request a refund, contact us at [email protected] with your account email and a description of the issue. We aim to respond within 3 business days.

Refund requests are reviewed on a case-by-case basis. We strive to resolve billing concerns quickly and fairly.

Limitation of Liability

To the maximum extent permitted by law, StitchSentry and its affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses.

StitchSentry provides QA analysis as a tool to assist decision-making. Results are informational and do not constitute a guarantee of production suitability. You are responsible for final production decisions.

Termination

We may terminate or suspend your access immediately, without prior notice, for conduct that we believe violates these Terms or is harmful to other users or the Service. Upon termination, your right to use the Service will cease immediately.

You may delete your account at any time. Upon account deletion, we will remove your personal data and uploaded files in accordance with our Privacy Policy.

Analytics & Telemetry

We use Google Analytics to understand how visitors interact with our marketing pages. Analytics cookies and scripts are only loaded after you explicitly accept via our consent banner — no tracking occurs by default.

We may also send server-side conversion signals to Google Analytics via the Measurement Protocol when Paddle webhook events are received (e.g., subscription activated or cancelled). These signals contain minimal data (event name and a client identifier) and no personally identifiable information.

Changes to Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated via email or a prominent notice in the Service. Your continued use after changes constitutes acceptance of the revised Terms.
